District-Wide CMMS Procurement for Nashua Schools
Nashua School District Plant Operations is soliciting Statements of Qualifications from companies experienced in computerized maintenance management systems (CMMS) for district schools and facilities. The procurement covers 18 schools and support facilities and seeks a proven platform suitable for a multi-building campus environment, preferably with educational-sector experience.
Statements of Qualifications are due September 24, 2026 at 2:00 PM. The controlling City of Nashua posting and RFQ do not state a time zone, so Atlas does not invent one. Vendors should confirm the submission-time-zone and delivery method with the official contact before filing.
Procurement Structure and Value
This is a qualification-first process rather than a priced award at the initial stage. Nashua School District will review submitted qualifications and products, then solicit quotations only from approved vendors before selecting a vendor and package. No contract value or total procurement budget is stated in the controlling RFQ.
Required System Capabilities
The requested CMMS functionality includes work requests and work orders, preventive-maintenance scheduling, asset records, hazardous-material information, inventory management with barcode or QR functionality, utility tracking, motor-pool functionality, capital planning, reporting, browser access, ERP data exchange, single sign-on, U.S.-hosted cloud/data, mobile and offline capability, QR asset labels, implementation project management, and customer-support/call-center services.
Addendum One, dated September 2, 2026, clarifies that facility floor plans are PDFs that must be directly accessible through the system; product demonstrations are expected later in the procurement process; hazardous-material information is currently maintained in spreadsheets and the District prefers automated alerts when work is scheduled around hazardous materials; and the District cannot identify its ERP vendor during an active replacement procurement, while current integrations rely on exported CSV files ingested by third-party platforms.
Statement of Qualifications Requirements
The qualification package must include the completed Company Questionnaire in Appendix B and a financial statement; a list of at least five clients for which the vendor has performed similar work, with contact information; a description of related experience; and supporting information requested by the RFQ. Evaluation considers similar experience, cost structure, completeness, and references.
The RFQ identifies Shawn M. Smith, Plant Operations Director, as the procurement contact at 38 Riverside Street, Nashua, New Hampshire 03062, telephone 603-966-1500, email smithsha@nashua.edu. One section says qualifications may be sent to that address and/or email, while another section discusses sealed-envelope delivery. Atlas therefore flags the submission method as requiring confirmation with the official contact before filing rather than assuming one channel supersedes the other.
Insurance and Contract Controls
Published insurance requirements include commercial general liability of $1 million per occurrence and $2 million aggregate; automobile liability of $1 million combined single limit; and New Hampshire-compliant workers compensation with stated employers-liability limits. Subcontractors are subject to the same requirements. Insurance certificates and endorsements are required within ten calendar days after award.
Atlas Opportunity Analysis
Atlas Opportunity Score: 78/100. This is a current, clearly scoped New Hampshire K-12 technology procurement with district-wide operational reach and a defined qualification process, but the contract value is not stated and the initial stage is vendor qualification rather than an immediate priced award.
N9+ Fit: 0/100. The solicitation is for facilities-maintenance management software and associated implementation/support, not clinical telehealth, remote examination, diagnostics, or patient-care technology. Atlas should not force N9+ into the opportunity.
Dr. Miltie/QC Healthcare direct-vendor disposition: No Bid. The RFQ requires an established CMMS product and documented comparable-client history, including at least five similar clients, along with implementation and support capabilities that are not part of the verified Dr. Miltie/QC Healthcare offering. No applicant-controlled qualification will be fabricated.
Next Action
CMMS vendors that genuinely meet the experience and product requirements should review the full RFQ and Addendum One, confirm the acceptable electronic/hardcopy submission method and deadline time zone with Shawn M. Smith, and submit a complete qualification package by September 24, 2026 at 2:00 PM.
